Eventai Ltd (trading as Roiyage) is the data controller for personal data collected through this website (roiyage.co.uk). When Roiyage processes personal data on behalf of a lettings agency using the Steward platform, Roiyage acts as a data processor and the agency is the data controller. A separate Data Processing Agreement governs that relationship.

2. What personal data we collect and why

2a. Website chatbot enquiries (Bricky)

When you interact with our website assistant, we collect your name, email address, and the content of your messages.

Legal basis: Legitimate interests (Article 6(1)(f) UK GDPR) — responding to sales and product enquiries from prospective customers.

Retention: 2 years from last contact, or until you request deletion.

2b. Demo booking (Calendly)

When you book a product demonstration, we collect your name, email address, organisation name, and chosen appointment time via Calendly.

Legal basis: Pre-contractual steps at your request (Article 6(1)(b) UK GDPR).

Retention: 3 years from the date of the booking or last contact.

2c. Website analytics (Google Analytics 4)

We use Google Analytics 4 to understand how visitors use our site. This collects anonymised data including pages visited, time on site, device type, and general location (country/region). IP addresses are anonymised before storage.

Legal basis: Legitimate interests (Article 6(1)(f) UK GDPR) — improving our website and understanding our audience.

Retention: 26 months (Google Analytics default retention period).

2d. Email and direct contact

If you email us at hello@roiyage.co.uk or call us directly, we collect the personal data you provide in that communication (name, email address, phone number, message content).

Legal basis: Legitimate interests (Article 6(1)(f) UK GDPR) — handling sales and support enquiries.

Retention: 3 years from last contact.

You may ask us to correct inaccurate or incomplete data.

You may ask us to delete your personal data where we no longer have a lawful basis to hold it.

You may ask us to restrict processing of your data in certain circumstances.

Right to data portability

Where processing is based on consent or contract, you may request your data in a machine-readable format.

Right to object

You may object to processing based on legitimate interests. We will stop unless we can demonstrate compelling legitimate grounds.

Right to withdraw consent

Where processing is based on consent, you may withdraw it at any time without affecting the lawfulness of processing before withdrawal.
